Cancellation Policy

A cancellation policy sets out how and when you can stop a SaaS subscription, how much notice you must give, through which channel, and what you still owe or lose afterward, such as unused fees and your data.

What is a cancellation policy?

A cancellation policy sets out how you stop a subscription. It covers when you can cancel, how much notice you must give, which channel counts, and what happens to your fees and data afterward.

In SaaS it is rarely one page. The rules are spread across the terms of service, the auto-renewal clause, the refund policy and help center articles.

Zoom's terms of service renew plans automatically unless you give notice at least 30 days before the next term starts, through the billing portal or by email. GitHub's terms let you cancel any time in your settings, but not by email or phone, and say content is deleted within 90 days after cancellation.

Canceling is not always the same as stopping payment. HubSpot's customer terms say you may not cancel before the end of your current term.

A real change we caught

Venpo flagged that the GoDaddy refund policy now excludes most renewals. If you miss the cancellation deadline, a renewal you did not want may now be one you cannot get back.

Why it matters to you

A missed deadline usually means another full term of fees. A wrong channel can mean your notice never counted. And data you did not export can be gone once the deletion clock runs out.

What to check

Cancel in this order:

  1. Find your renewal date in the order form or billing settings.
  2. Work back the notice period and put the deadline in your renewal calendar.
  3. Send notice of non-renewal through the channel the terms name, and keep proof.
  4. Export your data before access ends. See data export and portability.
  5. Get written confirmation of the end date and the final amount owed.
  6. Check the last invoice and remove the card on file.

How Venpo helps

Venpo monitors your vendors' terms, refund policies and billing pages, and emails you in plain English when cancellation, renewal or refund rules change. Each vendor gets a change history, so you can see what applied when you signed.

Frequently asked questions

Can I cancel a SaaS subscription at any time?

You can often stop it from renewing at any time, but that is different from ending it today. On annual plans you may still owe the rest of the term.

Does canceling delete my data?

Often, after a set period. Check the deletion clause and export what you need before you cancel. GitHub, for example, deletes repository content within 90 days.

Renewals, Pricing and Billing Auto-Renewal Clause An auto-renewal clause makes a subscription start a new term on its own when the current one ends, unless you cancel before a set deadline. The new term often comes at the vendor's current price, not the price you paid. Renewals, Pricing and Billing Notice of Non-Renewal A notice of non-renewal is the message you send a vendor to say you will not renew when your current term ends. Contracts often require it a set number of days before the end date, and missing that deadline can lock you into another term. Vendor Documents Refund Policy A refund policy sets out when a vendor gives money back and when it does not. In SaaS, fees are often non-refundable by default, with exceptions such as a short return window or ending the contract for the vendor's breach. Termination and Disputes Termination for Convenience Termination for convenience is the right to end a contract without giving a reason, simply by giving notice. In SaaS terms it may belong to you, the vendor, both or neither. How Vendors Use Your Data Data Deletion After Termination Data deletion after termination is what a vendor does with your data when your contract ends: usually a short window to export it, then deletion from live systems, with backups removed later. Vendor Management SaaS Renewal Calendar A SaaS renewal calendar is one shared list of every software subscription with its renewal date, the last day to cancel and the expected price. It gives you time to cancel, renegotiate or approve each renewal before it happens automatically.
