SaaS Renewal Calendar
A SaaS renewal calendar is one shared list of every software subscription with its renewal date, the last day to cancel and the expected price. It gives you time to cancel, renegotiate or approve each renewal before it happens automatically.
What is a SaaS renewal calendar?
A SaaS renewal calendar tracks when each software subscription renews and, more importantly, the last day you can stop it. Many SaaS contracts renew on their own through an auto-renewal clause, so doing nothing means paying for another term.
The renewal date is not the deadline that matters. The deadline is the renewal date minus the notice period in the contract. A contract with 60 days of notice that renews on June 30 has to be canceled by May 1.
Some vendors handle this inside the product. HubSpot's terms, for example, say you must "turn off the auto-renewal setting" before the current term ends, or the subscription renews.
A real change we caught
Venpo flagged that Snyk dropped its 5% renewal cap. Its terms used to limit each yearly renewal increase to 5%, and renewals now move to Snyk's then current rates. A change like that is a reason to look at the renewal well before the date, while you still have time to negotiate or leave.
Why it matters to you
Renewals are where SaaS costs grow. Vendors may raise prices at renewal, and Atlassian's cloud terms say subscriptions renew "at Atlassian's then current rates." If you see the renewal coming, you can cut unused seats, compare options or ask for a cap on the renewal price increase. If you miss it, you are often locked in for another year.
To build one:
- List every paid tool from card statements, invoices and your vendor inventory.
- For each one, open the order form or terms and write down the renewal date, the term length and the notice period to cancel.
- Work out the real deadline: the renewal date minus the notice period.
- Set a reminder 30 days before that deadline, so the owner has time to decide.
- Name one owner per tool who decides to renew, renegotiate or cancel.
- After each renewal, update the new date, price and any changed terms.
What to check
- How you must give notice of non-renewal: email, a setting in the product, or a written letter to a set address.
- Whether the price can rise at renewal and how much notice the vendor gives.
- Whether a free trial converts to a paid plan on a set date.
- Whether the vendor changed its renewal or billing terms since you signed.
How Venpo helps
A calendar tells you when to look, and Venpo tells you what changed. Venpo watches your vendors' terms and billing pages and emails you a plain-English alert when renewal, price or cancellation language changes. Its Fine Print Scan also answers whether each vendor can raise prices.
Frequently asked questions
How far in advance should I review a SaaS renewal?
Start at least 30 days before the cancellation deadline, not the renewal date. For large contracts, 90 days gives you time to compare options and negotiate.
What is the best tool for tracking SaaS renewals?
A shared spreadsheet or calendar works for a small stack, as long as every tool has an owner and a reminder. The tool matters less than recording the notice deadline correctly.
Does a vendor have to remind me before my subscription renews?
Not by default. A few state laws reach business contracts, such as New York's rule for contracts to service or maintain property, but most reminder rules protect consumers, so plan as if no reminder will come.
